Short-term rental agreement

These terms apply to every stay in a home managed by Walnut Coast. You accept them when you complete a booking. Anything specific to your home is in the guidebook we send with your check-in details.

Parties and role

This agreement is between the guest named on the reservation and Walnut Coast, acting as the authorized manager for the property owner. This is a transient occupancy license for vacation use only. It does not create a tenancy, lease, or any residency rights under Florida landlord-tenant law, and it does not renew.

Check-in and check-out

  • Check-in is from 4:00 PM. Check-out is by 10:00 AM.
  • Early check-in and late check-out are sometimes possible and must be confirmed in writing. Unapproved late departure may be charged at one additional night.
  • Access instructions are sent before arrival and are for your party only. Do not share codes.

Occupancy

Occupancy is limited to the number of guests on the reservation, including children and infants. Exceeding that limit, or hosting visitors overnight without approval, is a material breach and may end the stay without refund. Every home has a maximum occupancy set by local ordinance and by the owner.

Payments, deposits, and damage

  • 50% due at booking; balance due 14 days before arrival.
  • A $250 pre-authorization is placed on the card used to book about 3 days before arrival and released within 7 days after checkout.
  • The hold is a floor, not a cap. You remain responsible for damage that exceeds it, and the hold is not insurance or a damage waiver.
  • Normal wear is expected and never charged. Damage beyond normal wear, missing items, deep-cleaning needs, or smoke remediation are charged at actual cost.
  • We document damage with photos and email you an itemized cost within 14 days of checkout. You have 7 days to respond before we charge anything.
  • Accidental damage you report before check-out is almost never charged.

House rules and violation fees

Our House Rules are part of this agreement. In short: no smoking or vaping anywhere on the property, no parties or events, quiet hours are respected, and the home is treated like a neighbor lives next door — because one does.

Breaking one of those rules carries a published fee that you agree to at booking. Those amounts are liquidated damages reflecting our real remediation cost and lost nights, not penalties, and they are listed in full on the Damage & Rule Violations page. Headline figures: $500 minimum, plus actual remediation cost for smoking or vaping, $1,000 for a party or unapproved event, $150 per person per night for unregistered overnight guests, and $300 for an undisclosed pet. A fee is in addition to any repair or replacement cost.

Except where a breach is immediately terminable, we contact you first and give you a chance to correct the issue before any fee is assessed.

Pets

Pets are considered on a home-by-home basis and must be approved in writing before arrival. Where pets are permitted, a non-refundable pet fee applies and is disclosed at booking. Service animals are always welcome and are not charged a pet fee.

Access by management

We may enter the home during your stay for necessary maintenance, repairs, or safety checks. Except in an emergency, we will give you reasonable notice and work around your schedule.

Utilities, service interruptions, and equipment

We do not control outages of power, water, internet, or cable. We will work quickly to restore anything within our control and will make it right if a failure meaningfully affects your stay, but interruptions caused by utilities, weather, or third parties are not grounds for an automatic refund.

Hurricanes and severe weather

Pensacola is a coastal city. If a mandatory evacuation order is issued by Escambia County or the State of Florida for the area covering the home during your dates, you may cancel the affected nights for a full refund or move them to future dates. We strongly recommend travel insurance for stays during hurricane season, June through November.

Safety, security devices, and privacy

Homes may have exterior-only security cameras at entry points and noise-level monitors (which measure decibels only, never audio content) in common areas. There are never cameras or recording devices inside a home. Any exterior device is disclosed on the listing page and in the guidebook.

Assumption of risk and liability

You and your guests use the home, and any pool, grill, stairs, balcony, dock, or shared amenity, at your own risk. To the extent permitted by Florida law, neither the owner nor Walnut Coast is liable for injury, illness, or loss of personal property except where caused by our gross negligence or willful misconduct. Our maximum liability is limited to amounts you paid for the reservation.

Items left behind

We will do our best to return items you leave behind and will bill actual shipping. Items unclaimed after 30 days are donated.

Breach and removal

Material breach of this agreement — exceeding occupancy, parties, smoking, illegal activity, or harassment of neighbors or staff — allows us to end the stay immediately with no refund of remaining nights.
