Walnut Coast collects the minimum we need to take a booking and host you well. We do not sell your personal information, and we never have.

Who is responsible for your data

Walnut Coast, a short-term rental property management company in Pensacola, Florida, is the controller of the personal information described here. Questions or requests: privacy@walnutcoast.com.

Information you give us

  • Name, email address, and phone number
  • Booking details: dates, property, number of guests, and any accessibility or arrival notes you share
  • Messages you send through the inquiry form, email, or text
  • Payment details, which are entered directly with our payment processor — we never see or store full card numbers
  • Account information if you sign in, including the email address tied to your Google account

Information collected automatically

  • IP address, browser type, device type, and operating system
  • Pages viewed, referring page, and time on site
  • Cookie identifiers as described in our Cookie Policy

Information from other sources

  • Reservation details forwarded to us by Airbnb, Vrbo, or another listing platform when you book there
  • Verification or fraud signals from our payment processor

Why we use it

  • To answer inquiries and confirm, modify, or cancel a reservation.
  • To take payment, prevent fraud, and handle damage or disputes.
  • To send stay-related messages: confirmations, check-in details, guidebook links, and follow-up.
  • To send occasional direct-booking offers to past guests, only where permitted and always with a one-click unsubscribe.
  • To meet legal obligations, including lodging tax reporting and local short-term rental registration requirements.
  • To improve the site and understand, in aggregate, which pages are useful.

We do not use automated decision-making or profiling to decide whether to accept a booking.

Who we share it with

We share personal information only with service providers who need it to do their job for us, and only for that purpose:

Website hosting, database, authentication, and file storage

Stripe

Payment processing and fraud prevention

Google

Optional sign-in with a Google account

Email delivery provider

Sending booking and stay-related email

We may also disclose information to the property owner where necessary (for example, a damage claim), to our insurers or professional advisors, to a government authority where the law requires it, and to a buyer if the business is ever sold.

We do not sell your personal information and do not share it for cross-context behavioral advertising.

How long we keep it

  • Inquiries that never became a booking: deleted after 24 months.
  • Booking and guest records: kept for 7 years to satisfy tax, accounting, and insurance requirements.
  • Payment records: retained by our payment processor under its own schedule; we keep only the last four digits and an authorization reference.
  • Marketing contact details: kept until you unsubscribe, then suppressed so we do not email you again.

Your rights

Wherever you live, you may ask us to access, correct, delete, or export the personal information we hold about you, and to stop sending you marketing email. Florida residents also have rights under the Florida Digital Bill of Rights; California residents under the CCPA/CPRA; and residents of the EU or UK under the GDPR, including the right to lodge a complaint with a supervisory authority.

Email privacy@walnutcoast.com and we will respond within 30 days. We will never charge you or treat you differently for exercising a privacy right. We may need to verify your identity against a booking record before releasing data.

Cookies and tracking

This site honors Global Privacy Control (GPC) signals. If your browser sends one, we treat it as an opt-out of analytics and marketing cookies.

Security

Data is stored with reputable cloud providers, encrypted in transit over HTTPS and at rest. Access to guest records is limited to the people who manage the homes. No system is perfectly secure; if a breach ever affects your information, we will notify you and the appropriate authority as required by Florida law.

Children

This site is not directed to children under 13 and we do not knowingly collect their information. Children are of course welcome as guests, on the reservation of an adult.

International guests

Our systems are operated in the United States. If you book from outside the U.S., your information will be transferred to and processed in the U.S., which may have different data protection laws than your home country.

Changes to this policy

We will update the "last updated" date above whenever this policy changes, and will tell past guests by email if a change is material.
